One customer, five people on your team, one conversation

A customer conversation with the reply menu for text, email and in-app

Dave walks the Whitfield roof for the estimate. Standing in the driveway, he tells Dana he'll have the crew look at the gutters on the north side too. Sam in the office books the start date by phone. Luis and his crew show up on Monday, and Dana asks about the gutters. Luis has never heard of it.

A month later Sam follows up about the final bill. Dana explains the gutters for the third time, and she isn't happy about it.

Why it happens

A job passes through many hands. The estimator, the scheduler, the crew lead, the office and the owner all talk to the same customer, each on their own phone or their own email. Every handoff drops something: a promise, a gate code, a color choice.

The customer feels it. To her you are one company, but she has to repeat herself to five people who don't talk to each other.

How JobChalk solves it

Each customer has one conversation in the Inbox, and your whole team can be in it. Dave's notes from the visit, Sam's scheduling messages, Luis's photos from the roof: one history, in order, for anyone on the job to read.

The customer sees one business. Every reply from your team shows your company name, not five different people. If you'd rather show each person's name or job title, that's a setting.

Your team can talk inside the conversation without the customer seeing it. Team-only notes sit in the same thread, with @mentions: "@Luis she asked about the north side gutters." Luis gets an alert. Dana never sees the note.

To keep it organized:

  • Assign the conversation. Sam owns it during scheduling. Hand it to Luis while the crew is on site. The person assigned gets an alert.
  • "Sam is replying." Your team sees when someone is already typing to the customer, so two people don't answer at once.
  • Done and Snooze. Mark it done when it's handled. A new message from the customer brings it back.

The customer's profile holds everything in one place: the conversation, every job you've done for her, team notes, the people on the account, and every phone and email. When she calls back next spring, whoever picks up can see the whole story in a minute.

Each job also has its own crew chat, photos and tasks. From the job screen, anyone can message the customer, call her, or send "On my way" without digging for her number.
